How much does an AI voice agent cost a business in 2026?

"How much does it cost?" is usually the first question about an AI voice agent. The honest answer has two parts: an implementation cost you know from the start, and monthly costs that depend on how much you use it. Anyone who gives you a single all-in monthly price without asking how many calls you get is guessing.

Below we explain each component of the cost, why it varies, what to ask a supplier and how to work out whether the investment makes sense for your business.

The two main cost categories

Any AI voice agent cost breaks down into:

  1. Implementation (one-off): analysis, configuring the agent, integrating it with your systems, testing and launch.
  2. Running costs (monthly): telephony, AI and voice service usage, infrastructure and maintenance.

Let's take them one at a time.

1. Implementation: what you're actually paying for

At Neurotech, implementing an AI voice agent starts at €1,500 excluding VAT. It's paid in instalments tied to concrete deliverables, not all upfront. The final price depends on how complex the work you want the agent to do is.

Implementation usually covers:

  • Call analysis: what kinds of requests you get, what the agent needs to handle, what goes to a person.
  • Writing the instructions and knowledge base: prices, opening hours, rules, exceptions, the tone of the conversation.
  • Setting up the voice in Romanian (or your language) and how it behaves in conversation.
  • Integrations: calendar, order system, CRM, ERP, SMS or email notifications.
  • Telephony setup: a new number or forwarding your existing one.
  • Testing with real calls and the adjustments that follow.

What makes implementation cheaper or more expensive

Simpler (towards the starting price)More complex (higher cost)
A single scenario: bookings or informationSeveral scenarios: orders, bookings, complaints, lead qualification
A standard calendar that's easy to connectA legacy system with no easy access to the data
One languageSeveral languages
One departmentSeveral departments, with different transfer rules
Your data is already organisedThe data needs structuring first, or a new app is needed

Sometimes the conversation about a voice agent reveals that the real problem sits further back: orders are on paper or spread across three different spreadsheets. In that case it makes sense to build a custom ERP or CRM app as well, and have the agent write straight into it.

2. Monthly costs: why there's no fixed price

An AI voice agent uses several services on every call, and each has a usage-based cost. That's why the monthly cost depends on your real volume. Here are the components:

Telephony

The phone number and call minutes. We use Twilio. The cost depends on the number of calls, how long they last and whether they're inbound or placed by the agent.

AI usage

The agent's "brain" is Claude, the model developed by Anthropic. Every conversation uses a certain amount of processing, paid for by usage. A short conversation about opening hours costs less than a long one with several checks.

Voice

Turning text into natural speech (we use ElevenLabs) and the caller's speech into text. Here too, the cost rises with the minutes spoken.

Infrastructure

The automations (n8n), the database (Supabase, on EU servers) and the connectors linking the agent to your systems.

Maintenance

Price and rule updates, quality monitoring, adjustments after we read the transcripts, and fixing problems when an external service changes.

In short: a business with 15 short calls a day and one with 200 long calls a day can't have the same monthly cost. That's why we calculate it on your volume, once we know how many calls you get and how long they last.

How to estimate your own volume

Before any quote, gather three figures. You'll find them in your phone history or your operator account:

  1. Calls per day, on average and on busy days.
  2. Average call length. Bookings are usually short, detailed orders longer.
  3. The share of calls the agent would take. All of them? Only missed ones? Only evenings and weekends?

With those three figures, any serious supplier can give you a realistic estimate of the monthly cost.

How to work out whether it's worth it

The cost only makes sense compared with what you gain. Do this simple sum with your own figures:

  1. Missed calls per month × the share that would have become customers × the average value of an order or booking = revenue you're losing today.
  2. Hours per month staff spend on the phone with repetitive requests × the cost of an hour = time you can free up.
  3. Add the two together and compare with the monthly cost plus implementation spread over 12 months.

If the result is clearly positive, you've got a solid case. If it's borderline, start with a smaller scenario, for example just out-of-hours calls.

A real example: for a chain of patisseries in Sibiu, the AI voice agent, linked to a custom-built ERP, recovers around 20 calls a day that used to be lost as potential orders. Put that figure next to your own average order value and you'll get a sense of the order of magnitude.

An AI voice agent or another person on the phones?

Lots of business owners compare it with hiring someone to answer the phone. It's a fair comparison, but it needs making in full:

  • Availability. A person works set hours and takes holidays and days off. The agent can take calls in the evening, at weekends and on bank holidays.
  • Traffic peaks. A person talks to one customer at a time. The agent can hold several conversations at once.
  • Complex situations. Here the person is better: they negotiate, calm down an unhappy customer, make decisions. The agent has to transfer these calls.
  • Cost. A salary is fixed, however many calls come in. The agent's cost follows the volume.

More often than not, the right answer isn't either-or. The agent takes the repetitive part, and the person you already have gets time for the customers who really need them. That way you don't hire someone just to answer the same five questions, and your current team works on what brings in money.

Hidden costs to watch out for

  • Change fees. Does every change to a price or opening hours cost you? Ask beforehand.
  • Total supplier lock-in. Can you see the transcripts? Do you get access to your data if you leave?
  • Capped "all-inclusive" subscriptions. What happens when you go over the included minutes?
  • Integrations "not included". An agent that doesn't write into your system just moves the work around: someone still has to copy the data by hand.
  • Your time. Implementation needs a few hours from you: explaining processes and testing. Plan for them.

Questions to ask any supplier

  • What exactly is included in the implementation price, and what isn't?
  • How is the monthly cost calculated, and what volume is the estimate based on?
  • How is implementation paid: all upfront or in instalments tied to deliverables?
  • Which AI model do you use, and where is conversation data stored?
  • What happens if call volume doubles?
  • Who handles maintenance, and how quickly do you respond to a problem?

For the questions about data, you'll find our answers on the data security page.

How we work at Neurotech

We start with a conversation about your calls, not a standard package. We tell you what the agent would do, what stays with a person, what implementation costs and how the monthly costs add up on your volume. Implementation is paid in instalments tied to deliverables, so you see progress before paying in full. Service details are on the AI voice agents page.

Next step

If you'd like an estimate based on your figures rather than assumptions, bring your daily call count and average call length to the conversation. In 30 minutes we'll tell you whether it makes sense and where you'd start. Book a free call.

Frequently asked questions

How much does it cost to implement an AI voice agent?

At Neurotech, implementation starts at €1,500 excluding VAT and is paid in instalments tied to deliverables. The final price depends on how many scenarios the agent covers, the integrations with your systems and the number of languages. We set it after a conversation about the calls you receive.

Is there a fixed monthly subscription for an AI voice agent?

We don't quote a fixed monthly price, because it depends on volume. Monthly costs cover telephony, AI and voice service usage, infrastructure and maintenance. A business with a few short calls pays far less than one with hundreds of long calls a day. We base the estimate on your real figures.

What does the monthly cost of an AI voice agent depend on?

Mainly the number of calls, how long they last and how complex the conversations are. It also matters whether the agent only answers calls or makes them too, how many integrations it uses and how often the information we need to update changes. Real volume is the biggest factor.

How can I tell whether an AI voice agent is worth it?

Compare the cost with what you're losing today. Multiply missed calls per month by the share that would have become customers and by your average order value. Add the hours staff spend on the phone. If the total clearly exceeds the monthly cost plus implementation spread over a year, the investment makes sense.

Can I start small and expand later?

Yes, and we actually recommend it. You can start with a single scenario, such as missed calls or out-of-hours calls. Costs are lower, you see results quickly, and then you extend the agent to bookings, orders or other departments based on real data rather than assumptions.
